Client: National Utility Construction Company
Type: Revenue Workflow Automation – Excel Add-In (VBA)
Overview
EZ Invoice is a custom-built Excel add-in developed for a privately owned national utility construction company specializing in electric and telecommunications infrastructure.
The company managed complex field operations across multiple projects but lacked a structured system for translating completed field work into consistent, trackable invoices.
I designed EZ Invoice to streamline the full workflow — from field report data to customer-ready PDF invoice.
The Challenge
- Field reports documenting completed work
- Scope of Work (SOW) documents defining billable items
- No centralized invoice tracking system
- Inconsistent formatting and manual invoice creation
- Risk of missed billable items
Revenue generation depended on accurate, timely invoicing — but the process lacked structure.
The Solution
I developed a fully integrated Excel add-in that:
- Pulls structured data from field reports
- Matches completed work to Scope of Work definitions
- Calculates billable totals automatically
- Generates formatted, customer-ready invoices
- Exports final invoices to PDF
The add-in includes a custom, company-branded ribbon with embedded guidance and documentation to ensure consistent use across teams.
Key Features
- Automated matching of field work to SOW pricing
- Standardized invoice formatting
- One-click PDF generation
- Company-branded Excel ribbon interface
- Built-in documentation and user guidance
- Centralized tracking structure
Impact
- Reduced invoice preparation time
- Improved billing consistency
- Decreased risk of missed revenue
- Standardized documentation across projects
- Increased operational clarity between field and finance teams
This project demonstrates how workflow automation can directly impact revenue operations — connecting field execution to financial systems through structured, user-friendly tooling.
